This week's issue focuses on marketing. It's time to start PROMOTING the NWA Boutique Show to our friends, customers and the general public. The more effective we are with getting the word out... the more people will attend the show... and that means more dollars in your pocket.

Effective marketing is crucial to the success of our show. Your contacts are invaluable and a KEY contribution to our marketing mix. Everyone pitching in to spread the word and reach the right people is what makes this show so effective! With that in mind, please read this issue carefully and
note your part in pink.


We all know how great you are.... but let's get thousands of people through those doors so they can meet you too! Thanks to ALL OF YOU for pitching in to make this show a success! What an amazing group!

Postcards

We have 15,000 full-color glossy postcards for you to distribute. Place them in your customer orders, in your booths at other shows, take a stack to your favorite stores, your church, pediatrician, doctor, dentist, playgroup, work, etc. Place them where your kids go to school, dance, tumbling, karate, etc. Keep a stash in your car and have them ready to take in with you wherever you go!


Each merchant is required to distribute a minimum of 150 postcards. Postcards may be picked up anytime from 2752 E Boardwalk Court in Fayetteville. There will be a sign-out sheet to initial when you collect your cards. (If you live outside of NWA, we ask that you promote heavily via e-mail and Facebook.)

Directions: From Crossover/Mission intersection in east Fayetteville, head south on Crossover toward Sonic. The first true street on your right is Boardwalk Court. Look for the third house on the right... a brick two-story with arched front porch.

Magazine Ads

Full-Color Ads in the October issues of CitiScapes and The Kids Directory hit stands earlier this month. Each publication distributes 20,000 copies across NWA. That's 60,000 impressions overall!

The same ads will run again in November issues, in addition to large ads in Peekaboo, NWA Metro Woman and various other publications.

E-Marketing

The first of our big promotional e-mails to the public goes out this week.
When this e-mail comes to your inbox, please forward it to all your friends with a personal note letting them know you will be a part of the show! Invite them to sign up within that e-mail or on our website for future announcements and special "fast-pass" entry to the NWA Boutique Show. (more on that later.)

We'll be asking you to follow up with a reminder e-mail two weeks prior to the event and one final e-mail the Wednesday before the show.

Facebook It! Social Media is BIG

Did you know that if Facebook were a country, it would be the 4th largest in the world? Did you know that the #2 largest search engine in the world is YouTube? Did you know that 78% of consumers trust peer recommendations. Only 14% trust advertisements.

Social Media is BIG. We need to use it. Tweet about the show, talk about it on Facebook, invite others to become a FAN of our page on Facebook. (There is an event link you can use as well.) Post something on You Tube to showcase your product and promote the show. All of us pitching in to promote the show creates buzz you just can't buy!


Yard Signs - Plant Them Sunday, 11/14

We'll be handling all the new updated signage. But, if you have a yard sign from last show, please remember to put it out in a high-traffic location or intersection near your home the Sunday before the show. Try to steer clear of actual shopping center or mall property... but think about places women will see it. Corners of suburbian intersections, soccer fields, baseball parks, schools, etc. Permission is always nice!

Please e-mail us and let us know where you plan to plant your sign so we'll know what is covered and can fill in the gaps.

Car Magnets - Slap Them On 11/14

If you have a car magnet from last show, please put it on your vehicle the Sunday before the show.

Cross Promotion

A key P.R. tool is cross-promotion. Last spring, Rhea Lana's children's consignment sale passed out thousands of our "save the date" cards in their shopping bags.
It's not too late to do even more cross promotion and/or set up future relationships. Who do you know that can cross-promote with us? Let us know!

When you open up the Kids Directory or pick up one of our postcards, you'll notice special thanks given to NWA Motherlode, Kids Directory and CitiScapes. These amazing media outlets were gracious enough to help promote our show... and we'll help promote them too. Please say thank you and support these guys! They are incredible!

Your Booth Represents YOU!

Your personal creativity is at the heart of your business -- it literally IS your business. Show the world your creativity! Use your booth to not only sell the day of the show... but to build your future business. You are establishing your image to the public.

Here are a few tips to help when designing your booth:

  • Make your booth inviting and comfortable to guests.

  • Provide good traffic-flow.

  • Showcase your work in an appealing and creative way.

  • Keep your booth stocked, but uncluttered.

  • Make the most of vertical space!

  • Display merchandise at various levels, arranged in a way that makes sense to shoppers.

  • Use easy-to-read signage. (pricing, custom order information, etc.)

  • Use signage to offer sales suggestions. (e.g. Great Teacher Christmas Gifts!)

Remember... your booth is a window to your business. This is your storefront and YOU are the key salesperson.
Props & Backdrops

All the creative props you guys find amaze us! We love how so many of you use ordinary items in extraordinary ways to give your booth impact! Our favorite booths are always the ones that showcase the product... and look great doing it!

You will definitely want to think about how you'll define your space. Our booths are open, so many merchants like to bring or rent a backdrop of some sort. Others bring props to give the illusion of walls and define their space. We've seen everything from bakers racks, shelving, old doors hinged together, wire frame panels, hanging racks, furniture, self-standing closet organizers, etc.... the sky's the limit. Others use tables around the perimeter and put things up on the tables to add height. Some just leave them open. Be as creative as you'd like but remember to respect the booth next door and behind you.

All of us on the Boutique Show staff are suckers for fun display items and always on the lookout for interesting booth props. We have a few doors, windows and shutters if anyone needs them. Paint them a fun color! Put knobs on them! Hinge them together! Add feet! Paint them with chalkboard paint! If anyone wants any of it... please let us know. First come, first served. We'll send you pics and prices. You can even pay with paypal if you'd like.

General Booth Details

A 6' skirted table, 2 chairs and small wastebasket is provided in each 10 x 10 booth. (2 tables will be provided in each 10 x 20 booth.) Booths are taped off, but open. (i.e. no walls) Each merchant should provide or create their own "backdrop" to define the space.

Backdrops, electricity, wi-fi and extra tables are available a la carte.
Costs for additional services should be paid directly to the NWA Convention Center. Following is a partial list of extras and their cost. Please link to the forms below for full details. Forms should be faxed or mailed to the NWA Convention Center no later than November 10th.

Fall 2010 Merchant Agreement

To participate in the Fall 2010 NWA Boutique Show, each merchant must read and consent to the following terms and conditions:

  • Merchants may only bring items that have been juried and approved. At the discretion of the NWA Boutique Show staff, merchant may be asked to remove unapproved items.
  • There is to be NO copying of other merchants' ideas or merchandise. Limited overlap is important for the success of all participants.
  • Merchants are to be courteous and professional at all times. Foul language, negative attitudes, and unprofessional behavior will not be tolerated. We strive to create a fun, festive and uplifting environment for our merchants and customers.
  • Booth location will be assigned by the NWA Boutique Show staff and not by merchants themselves. Booth location will be assigned in order of arrival as completed applications and booth payments are received. (Upgrades to walls and corners are available upon approval for a slight increase in booth fee.)
  • A 6' skirted table and 2 chairs will be provided in each booth by the Convention Center. Backdrops, electricity, wifi and extra tables are available at additional charge. Costs for additional services should be paid directly to the NWA Convention Center.
  • Merchants must keep booth area clean and tidy during the show and are responsible for removing individual trash after the show. All supplies and props must be removed upon departure. Any remaining merchandise and/or supplies will be discarded.
  • ALL merchants are required to help distribute advertising materials such as flyers and signage. ALL merchants will be asked to e-mail their contacts with a personal note AND pitch in on web-based P.R. for the show's e-marketing campaign. (e.g. facebook, blogs, websites, twitter, etc.)
  • In the rare case that someone is injured during the show, the Boutique Show as a whole and its organizers will not be held responsible. Each individual merchants will be held responsible for what happens in their area. Merchants should consider a business liability policy.
  • Merchant must agree to the NWA Convention Center Liability Policy: Exhibitor or third party representative shall be fully responsible to pay for any and all damages to property owned by the Holiday Inn and the Northwest Arkansas Convention Center or Boutique Show their owners or managers, which results from any act or omission of Exhibitor or third party representative Exhibitor or third party representative agrees to defend, indemnify and hold harmless, Holiday Inn and the Northwest Arkansas Convention Center, Boutique Show and their respective owners, managers, officers or directors, agents, employees, subsidiaries and affiliates, from any damages or charges resulting from their use of the property, including attorney fees and expense. Exhibitor's or third party representative's liability shall include, without limitation, all losses, costs, damages, or expenses arising from or out of or by reason of any accident, property damage, bodily injury or other occurrences to any person or persons or property, including the Exhibitor or third party representative, its agents, employees, and business invitees which arise from or out of the Exhibitor's or third party representative's occupancy and use of the exhibition premises, Hotel or any part thereof. Exhibitor or third party representative agrees to provide a certificate of insurance to hotel which names the Holiday Inn and the Northwest Arkansas Convention Center, its Owner and Manager, and Boutique Show as additional insureds to their policy.
  • The Boutique Show will not be held responsible for the selling of any licensed merchandise, collecting/recording taxes or collecting payments for items.
  • Delivery of items is between individual merchant and customer.
  • Each merchant is required to donate one $20 "gift certificate" to be used for marketing/promotion purposes, door prizes and/or volunteer incentive. These "gift certificates" will be printed by the NWA Boutique Show and must be honored by said merchant at time of surrender. Gift certificates will expire two weeks after show.

Where is my booth?

A detailed booth diagram will be posted one month prior to event.

What time is set up?
Friday, November 19, between noon and 4:30 p.m. We will have a quick meeting at 4:30 to run through details of the weekend. Please have your booth completely ready by that time.

What time is the show?
Friday, November 19, Private Shopping Event, 5:00 p.m. - 9:00 p.m.
Saturday, November 20, Public Shopping Hours, 9:00 a.m. - 6:00 p.m.

What time can we break down?
Saturday, November 20, 6:00 p.m.- 9:00 p.m. There is to be absolutely no loading or packing until 6:00 p.m. on Saturday.

What is provided?
You will have a taped-off section to the specification of your booth size along with a 6'
skirted table and 2 chairs. Backdrops, wi-fi, electricity, extra tables, etc. may be added at an additional charge and should be paid directly to the NWA Convention Center PRIOR to the show. They will charge double for floor orders.

Where should we unload?
All vendors will need to unload at the back of the building. If you are able to unload in front, we will let you know prior to the show.

Do I need to clean up my booth after I pack it up?

Please make sure you take ALL your items from your booth and that you leave a clean booth behind. The Convention Center will handle vacuuming. Any booth that is left messy will be charged a cleanup fee from the Convention Center. Any items left behind will be discarded.

How should we collect customer payments?
Each vendor is responsible for collecting their own payments and applicable taxes from customers.

Will food be available?
We will have concessions at this event. In addition, the Tiffany Grille on the hotel side serves both breakfast and lunch.
